Document and Administrative Support Specialist
The Southeastern Wisconsin Regional Planning Commission, the nationally regarded regional planning agency for the seven county greater Milwaukee area, and the designated Metropolitan Planning Organization for the five urban areas within Southeastern Wisconsin, has an immediate opening for a Document and Administrative Support Specialist.
About the Opportunity
The Commission is looking for a highly motivated individual to join our diverse team of planners, engineers and specialists focused on addressing issues that transcend the political boundaries and fiscal capabilities of individual communities. This individual will perform a variety of administrative, clerical, and report formatting tasks. This is a multi-function position that will report to the Principal Graphic Designer under the direction of the Director of Administration.
Core Responsibilities
- Support the Leadership Team with scheduling, correspondence, workflow, and meetings
- Support the document production work of the Principal Graphic Designer
- Ensure compliance with internal format standards, templates, and document management
- Transcribe recorded meeting discussions into formal minutes
- Assist with production of documents and preliminary drafts
- Help the Administrative Division with front desk communication as needed
- Provide general administrative support
Core Requirements
- Administrative Support Specialist degree, Office Technology Assistant degree or equivalent associate’s degree preferred, related experience may be substituted for education
- Knowledge of general office procedures such as mailing and/or e-mailing correspondence, setting electronic calendar meeting notices, photocopying, scanning, and using document management software for record retention
- Demonstrated organizational and communication skills
- Ability to handle multiple deadlines and prioritize the workload
- Advanced proficiency in Microsoft Office, with expertise in Word formatting features including paragraph styles, table design, and document layout
- Proficiency with Adobe Acrobat
- Familiarity with Adobe Creative Cloud preferred
- Strong attention to detail and commitment to producing accurate, high-quality document
Compensation and Benefits
The salary range for this position is $45,000 to $55,000 per year depending upon education, experience, and placement within the organizational structure. A salary exceeding this range may be considered for highly qualified applicants.
